What we do with your data
Inverness Festival Association holds basic data about all its members and applicants. This document is to tell you about how we process this information and what your rights are. As an organisation, we want members and applicants to understand why we hold data about them. Under the Data Protection Principles you are legally entitled to know who holds the information and the purpose for holding it.
Who holds the information
The Inverness Festival Association's Assistant Administrator holds all data about each member and applicant in the festival office. This information is then passed on to the relevant Festival committee members. In this notice we set out how we intend to use this information. We want you to be aware of all potential uses even although we may not use all the information in all the ways described.
In addition to the Assistant Administrator and the Treasurer a small number of other Festival committee members have access to the data.
- The membership secretary deals with all aspects of membership.
- The syllabus/programme compiler deals with the names of entrants only
- The school choirs secretary deals with schools applicants only
- The Chairman and Secretary have access to the data at the Assistant Administrators discretion.
- The Festival finale secretary deals with applicants and entrants at the discretion of the Chairman and Assistant Administrator
We NEVER give information to any organisation or individual outside the confines of the Inverness Festival Association. If information is requested then the Assistant Administrator will inform the applicant, entrant or member that an individual wishes to contact them.
We also use this information to enable us to contact you by mail or email to let you know of events that may be of interest to you (e.g. the publication of the syllabus).
Not everyone is informed of all events. Recipients of these mailings are carefully selected. However, if you do not wish to receive such information then write to the Festival Office and your name will be removed from the mailing list. But remember this may prevent you from receiving important items such as your programme.
Why we keep data on you
Inverness Festival Association needs to process the information received from you to enable the smooth running of the Inverness Music Festival. It is used for the essential work of administering the activities, organising and financing the Festival, monitoring membership and allowing you to attend meetings, keeping you informed of any changes to the Festival, and recruitment or invitation to events.
You have a right to ask for a copy of the information we hold on you. There is a small fee for this to cover photocopying and postage. You have a right to correct any inaccuracies. We would ask that you confirm your identity before we release any information. If as an applicant you have given us information about another person then this is on the understanding that they have appointed you to act for them and that they consent to the processing of their personal data.
